CarFleex vs HQ Rental Software: Which Fits Your Fleet?

A lower-friction, free-to-start operations tool, against a deeper online booking and payment automation suite.

This comparison is published by the CarFleex team, and CarFleex is one of the products compared. Competitor information is based on each vendor’s own public product and pricing pages, not paid access or hands-on testing, unless stated otherwise.

CarFleex and HQ Rental Software sit at different points on the same spectrum. CarFleex is built to get a small rental business running its fleet, bookings and accounting quickly, with a free tier and no setup. HQ Rental Software is built around a customer completing and paying for a booking entirely online, with digital agreements and reported support for more than 15 payment gateways and multiple branches.

This comparison is published by the CarFleex team, and CarFleex is one of the two products compared. HQ Rental Software’s facts come from its own public pages; we have not purchased or operated it, and its public pricing is, by its own site’s inconsistency, unclear at the time of writing.

Capturing a lead vs. accepting a paid online booking

This is the central difference between the two products. CarFleex’s public business page shows what you have and roughly what it costs; a customer who wants to book contacts the business by Facebook or phone, and staff confirm the reservation and record payment on arrival or afterward. That’s a lead-capture model: it reduces how many channels a customer has to search, but a human still closes the booking.

HQ Rental Software’s booking widget, by its own description, lets a customer pick dates and a vehicle and pay a deposit or the full amount at the moment of booking — no staff member has to act first. For a business whose main cost is staff time spent confirming bookings by phone or chat, that difference can matter more than any single feature on a checklist.

What CarFleex gets right for day-to-day operations

  • No cost to start. CarFleex’s Free plan covers up to 5 vehicles, 50 customers and 3 staff records, with reservations, rentals and contracts. Accounting requires Plus or Pro, and the visual fleet calendar requires Pro.
  • Contracts on every plan. A rental agreement PDF with an on-screen signature pad is available from Free up, not reserved for a higher tier.
  • Staff payroll alongside the rentals. Payroll records sit next to the rentals and expenses they relate to, so staff cost is counted among your costs without a separate system.
  • Android for the counter. Releasing a vehicle, checking who has it, recording a payment and adding a customer all work from the Android app, in sync with the web portal.

What HQ Rental Software gets right for self-service and scale

  • Online checkout. A customer can complete and pay for a booking without a staff member confirming it, through a branded widget with (per its own site) 15+ supported payment gateways.
  • Damage and handover capture. Its mobile app records pickup/return photos, odometer and fuel alongside the customer’s signature at handover.
  • Multi-branch operations. The vendor states support for managing multiple branches from one account — useful for an operator running more than one location, though we could not confirm from public pages whether extra branches are included or billed separately.
  • Maintenance tracking. HQ’s own pages describe maintenance and repair-order tracking as part of the core product, not an add-on.

A small in-person operation vs. a growing multi-branch business

Neither product automatically wins here. A small, in-person operation — a handful of vehicles, mostly local or repeat customers, bookings mostly by phone or Facebook — gets more value from CarFleex’s free tier and low operational overhead than it would from a self-service booking engine it doesn’t need yet.

A growing or multi-branch operator whose main bottleneck is staff time spent confirming and billing bookings has a stronger case for HQ Rental Software’s online checkout and payment integrations — provided the actual, current price (confirmed directly, not from a conflicting public figure) fits the business’s margins.

On HQ’s pricing

We looked at HQ Rental Software’s own pricing page and several third-party listings, and the entry-tier figure was not consistent — reported numbers ranged from roughly $90 to $120 a month for similar-sounding tiers, with differing vehicle caps and branch limits across sources. Rather than repeat a number we can’t stand behind, we recommend requesting current pricing directly from HQ before comparing total cost.

Choose CarFleex if…

  • You’re starting out or operate a small fleetand want to run reservations, contracts and basic accounting for free before committing to a paid platform.
  • Facebook is where your bookings startand you’d rather automate first replies (Pro) than build a self-service checkout you may not need yet.

Choose HQ Rental Software if…

  • Reducing manual booking confirmation is your priorityand you want customers to book and pay online without staff acting first.
  • You operate multiple branchesand want one account to manage them, provided you confirm current pricing and what multi-branch actually includes.

Questions

Frequently asked questions

Can CarFleex accept online payments like HQ Rental Software does?

Not currently. CarFleex records payments staff take from customers on a rental; it does not offer a payment gateway for customers to pay online. HQ Rental Software’s public pages describe integration with 15+ payment gateways for online checkout.

Is HQ Rental Software’s pricing clear?

Not from public sources alone. We found conflicting entry-tier figures across HQ’s own pages and third-party listings at the time of writing. Request current pricing directly from HQ before comparing costs.

Does CarFleex support multiple rental branches?

We found no published multi-branch or multi-location feature on CarFleex’s current public pages. HQ Rental Software states support for multi-branch operations, though whether extra branches cost more is unclear from its public pages.

Which is better for a small, local rental business?

If most of your bookings come from phone calls, walk-ins or Facebook messages and you want to start for free, CarFleex’s Free plan is likely to cost less and need less setup. If you specifically want customers to book and pay online without staff involvement, HQ Rental Software is built for that, at a price you should confirm directly.

Does CarFleex include digital signatures like HQ does?

Yes. CarFleex generates a rental agreement PDF with an on-screen signature pad on every plan, including Free. HQ Rental Software captures the customer’s signature in its mobile app at vehicle handover.
