Best Car Rental Management Software in 2026: Compare Features and Pricing
Six platforms, compared on how they actually handle bookings, payments, maintenance and cost — not on a made-up ranking.
This comparison is published by the CarFleex team, and CarFleex is one of the products compared. Competitor information is based on each vendor’s own public product and pricing pages, not paid access or hands-on testing, unless stated otherwise.
Car rental software can do very different jobs. Some tools focus on fleet records, reservations and expenses. Others emphasize online bookings, payment collection, telematics or multiple branches. This guide compares six options using published product information and pricing, so you can choose based on how your rental business actually operates.
The CarFleex team publishes this guide, and CarFleex is included in the comparison. We link to the original vendor sources throughout and note clearly where a feature depends on a paid tier, rather than presenting every capability as included on the cheapest plan.
Quick answer: best fit by use case
- CarFleexFree-to-start for small fleets, with Philippine-friendly PHP and Facebook workflows, and an optional Pro Messenger AI assistant.
- BooqableGeneral rental inventory, a booking website, quotes/contracts and integrations, across many rental categories.
- HQ Rental SoftwareFull online self-service reservations and payments, with digital agreements and multi-branch operations.
- RentSystFleet and booking operations with per-vehicle pricing and an optional GPS/telematics module as fleets grow.
- Easy Web RentOne annual software payment and the same complete feature set at every fleet-size tier.
- RenthubA modular suite of booking, point-of-sale and back-office modules for larger or feature-rich operations.
How we compared these six
We compared each platform against criteria that actually change how a rental business runs day to day: fleet size and pricing basis, how a reservation is made (inquiry vs. self-service checkout), whether damage and maintenance are tracked, whether a customer can pay online, what reports and exports exist, whether local workflows (like Philippine PHP pricing and Facebook inquiries) are supported, and the total recurring cost including add-ons.
Our research method is reading each vendor’s own product and pricing pages, current as of the “last checked” dates in this article and in the Sources section below. We have not purchased, trialed or operated the competitor products, so anything we could not verify from public materials is marked “Not confirmed” rather than presented as missing. Prices, plans and features change; always check the vendor’s current page before deciding.
Feature comparison
A claim of “Not confirmed” means the evidence on the vendor’s public pages was insufficient to say yes or no — not that the feature is absent. Availability can vary by plan or region; always check the vendor’s current page.
- IncludedStated on the vendor’s own pages.
- On selected plansOnly on some plans, or as a paid add-on.
- Not confirmedWe found no evidence either way. Not the same as unavailable.
- Not available (verified)The vendor states it is not offered, or we verified it in the product.

Pricing and billing comparison
Currencies, billing periods and fleet-size scopes differ enough that a single number rarely tells the whole story. We have not converted these to a common currency, since that would require an exchange rate that moves day to day.
| Vendor | Entry plan | Price | Billing | Scope | Worth knowing |
|---|---|---|---|---|---|
| CarFleex | Free | ₱0 / $0 | Forever, no credit card | Up to 5 vehicles, 50 customers, 3 staff | Plus and Pro subscribed to via Google Play (also accepts GCash); see current pricing in the app. |
| Booqable | Start | $35/mo, or $29/mo billed yearly | Monthly or annual | Unlimited inventory | Grow $87/mo ($69 yearly), Scale $187/mo ($149 yearly). Add-ons priced separately. |
| HQ Rental Software | Entry tier | See current pricing | Monthly (reported, figures conflict) | Varies by tier | Public figures for the entry tier are inconsistent; confirm directly with HQ. |
| RentSyst | Beginner | €55/month | Monthly | 0–15 vehicles | Per-vehicle tiers above 15 vehicles, from about €3 down to €2/vehicle/month. GPS add-on extra. |
| Easy Web Rent (Easy Rent Pro) | Small | $299.99/year | Annual only | Up to 25 vehicles | Medium $399.99/yr (up to 100), Large $499.99/yr (100+). Implementation quoted separately. |
| Renthub | Base license | ~€45/month + €1–€4/vehicle | Monthly or annual | Scales with active modules | Most customer-facing and advanced features are separately billed modules. |
The six platforms in detail
Each profile below covers what the platform is actually good at, where it has real trade-offs or plan caveats, and what it costs — in our own words, with a link to the vendor’s source.
CarFleex
carfleex.com ↗Integrated car rental operations, web and Android
Best fit: Small and growing rental operators, especially in the Philippines, who want one free-to-start system for fleet, bookings, customers and accounting.
Strengths
- Free plan for up to 5 vehicles, 50 customers and 3 staff records, no credit card required
- Reservation and rental checks run against the exact pickup and return time, not just the date, to reject overlaps
- Rental agreements generate a PDF from the rental itself, with an on-screen signature pad, on every plan including Free
- Customers can request a booking from the public page with a Google account, and the business confirms or declines it on the web or in the Android app, on every plan including Free
- A Facebook Messenger AI assistant answers customer inquiries from the business’s real fleet data, on Pro
- The Android app keeps releasing a vehicle, checking who has it, recording a payment and adding a customer in sync with the web portal
Considerations
- No instant booking or customer-facing online payment checkout: a customer can request a booking online and the business confirms it, or contact the business by Facebook or phone
- Maintenance tracking and financial reports with CSV export require the Plus plan
- The Messenger AI assistant and the fleet calendar are Pro-only, with a publicly stated cap of 2,000 AI replies a month
- No GPS or telematics tracking is published or implemented
- No multi-branch or multi-location management is published or implemented
Pricing: Free for up to 5 vehicles, forever, no credit card required. Plus and Pro are subscribed to in the CarFleex Android app through Google Play, which also accepts GCash; see current plan pricing in the app.

Booqable
booqable.com ↗General rental inventory and booking platform
Best fit: Rental businesses across many categories that want a polished booking website, quotes and contracts, and integrations, and don’t need car-specific fleet attributes.
Strengths
- A 14-day free trial with no credit card required
- A ready-made booking page and a no-code website builder for taking reservations online
- Real-time availability and unlimited inventory and orders on every plan
- E-signatures, downtime scheduling and advanced revenue reporting from the Grow plan up
Considerations
- No permanent free plan: Start is $35/month, or $29/month billed yearly, before add-ons
- Built for rental inventory in general, not car-specific attributes such as odometer, fuel policy or mileage limits
- Mobile point-of-sale, the website builder, barcode scanning and extra locations are paid add-ons on top of the plan price
- No car-specific accounting/payroll ledger or Facebook Messenger AI assistant confirmed on its public pages
Pricing: Start $35/mo or $29/mo billed yearly; Grow $87/mo or $69/mo yearly; Scale $187/mo or $149/mo yearly. Website builder, mobile POS, barcode scanning and extra locations are separately priced add-ons. See current pricing.

HQ Rental Software
hqrentalsoftware.com ↗Online self-service car and van rental platform
Best fit: Operators who want customers to complete and pay for a booking fully online, with digital agreements and multi-branch operations.
Strengths
- A branded booking widget where customers pick dates and a vehicle and pay a deposit or the full amount online
- According to its website, more than 15 payment gateways are supported, including Stripe and PayPal
- Its mobile app captures the customer’s signature plus pickup and return photos, odometer and fuel at handover
- The vendor states support for multi-branch and multi-location setups
Considerations
- Published pricing for the entry tier is inconsistent across the vendor’s own pages and third-party listings, with figures reported from roughly $90 to $120 a month; confirm the current number directly before comparing cost
- API access is reported to be limited to its higher tiers
- Whether extra branches are included or billed separately is not clearly stated; verify before assuming multi-branch is free
- No general accounting/payroll ledger or Facebook Messenger AI assistant confirmed on its public pages
Pricing: Paid plans. Public figures for the entry tier conflict between the vendor’s own pages and third-party listings, so see current pricing directly from HQ Rental Software rather than relying on a quoted number.

RentSyst
rentsyst.com ↗Fleet and booking management with optional GPS/telematics
Best fit: Growing fleets that want pricing that drops per vehicle as they scale, and that are weighing GPS/telematics.
Strengths
- Per-vehicle pricing falls as the fleet grows, from about €3/vehicle (16–50 vehicles) down to about €2/vehicle (201–400 vehicles)
- Damage management and a digital agreement editor with signatures are listed on its pricing page
- Optional GPS/telematics integration, including remote door locking and engine control, as a paid add-on
- A 14-day free trial plus a free demo
Considerations
- The entry tier (Beginner) is €55/month flat for 0–15 vehicles, not per-vehicle; larger fleets move to per-vehicle pricing
- GPS/telematics is a separate add-on, around €2.50 per vehicle a month in published figures, not included in the base price
- No dedicated native mobile app is confirmed; the product is described as a cloud web application usable from a phone’s browser
- No online payment gateway for customers, general accounting ledger or Facebook Messenger AI assistant is confirmed on its public pages
Pricing: Beginner €55/month for 0–15 vehicles; per-vehicle tiers from about €3 down to €2/vehicle/month for larger fleets; GPS/telematics is an extra per-vehicle fee. Confirm current EUR pricing and VAT treatment on the pricing page.

Easy Web Rent (Easy Rent Pro)
easyrentpro.com ↗Annual-licensed cloud car rental management
Best fit: Operators who prefer a single annual software payment and the same full feature set at every fleet size.
Strengths
- One annual price per fleet-size tier, with the same feature set listed at every tier rather than features locked behind higher plans
- A customer booking website, online reservations and payment workflows are included
- Check-in/check-out, inspections, damages, signatures and documents are part of the core workflow
- A REST API, webhooks, imports and exports are included
Considerations
- Billed annually only, not month-to-month: Small (up to 25 vehicles) $299.99/year, Medium (up to 100) $399.99/year, Large (100+) $499.99/year
- No permanent free plan; a 14-day trial is offered on request
- A dedicated mobile app is not confirmed; the product is browser-based and responsive on phones and tablets
- Data migration, website branding, payment integration, GPS tracking, API integration and training are separately quoted professional services
Pricing: Annual licensing: Small $299.99/yr (up to 25 vehicles), Medium $399.99/yr (up to 100), Large $499.99/yr (100+). Implementation/migration and payment-processor fees are quoted separately.

Renthub
www.renthubsoftware.com ↗Modular car rental suite with separately billed modules
Best fit: Larger or feature-rich operators who want to assemble a modular suite of booking, point-of-sale and back-office modules rather than buy one fixed bundle.
Strengths
- A base license plus a small per-vehicle fee, so cost scales directly with fleet size
- A wide module catalog: booking engine, digital signature, smart check-in, point-of-sale, GPS tracking, multilingual management and more
- A customer-facing booking app for Android and iOS is offered as a Commercial module
- A free demo is available before committing
Considerations
- The base license is about €45/month plus roughly €1–€4 per vehicle a month depending on which modules are active; the page does not map each rate to a specific module
- Most customer-facing and advanced features — the booking engine, digital signature, point-of-sale, GPS and the mobile apps — are separately priced modules, not included in the base fee
- No permanent free plan or free trial is confirmed; only a free demo is offered
- No general accounting ledger, payroll or Facebook Messenger AI assistant is confirmed on its public pages
Pricing: Base software license from about €45/month, plus roughly €1–€4 per vehicle a month depending on active modules; most advanced capabilities are separately priced modules. Confirm current module pricing directly.

Which software should you choose?
Matched to how a business actually operates, not to a generic “best overall” pick.
- Solo owner with 1–5 vehiclesCarFleex’s Free plan covers up to 5 vehicles, 50 customers and 3 staff records at no cost, which is enough for most solo operators to run reservations, rentals, contracts and basic reporting before paying anything.
- Operator in the Philippines needing mobile counter workCarFleex’s Android app and PHP-first workflows are built around exactly this; see our Philippines-focused guide for the specifics.
- A rental business that wants customers to pay onlineLook closely at HQ Rental Software (15+ payment gateways reported) or Booqable (payments built into its booking flow). CarFleex does not currently offer customer-facing online checkout.
- A growing fleet considering GPS or telematicsRentSyst publishes an optional GPS/telematics add-on with per-vehicle pricing. Renthub also lists a GPS module. Neither CarFleex, Booqable nor Easy Web Rent confirm GPS tracking on their public pages.
- A manager who prefers one annual paymentEasy Web Rent bills annually by fleet-size tier, with the same feature set at every tier, which simplifies budgeting compared with monthly SaaS pricing plus add-ons.
- A business renting more than just carsBooqable is built for rental inventory broadly (cars, equipment, event gear and more), so if your business also rents non-vehicle items, its general-purpose model may fit better than a car-specific tool.
Questions to ask before deciding
- Can a customer complete and pay for a booking fully online, or only send an inquiry that staff confirm?
- Can you record pickup and return condition, including damage, with photos?
- Are plan limits based on number of vehicles, staff seats, branches, or some mix — and where does your fleet actually land?
- Are e-signatures or digital agreements included, or a separately billed module?
- Which payment gateways are supported, and do they work with your local bank or payment provider?
- What is the real total cost once add-ons, extra users, extra locations and payment-processor fees are included?
Questions
Frequently asked questions
Is free car rental software sufficient for a small fleet?
For a very small fleet it can be. CarFleex’s Free plan, for example, covers up to 5 vehicles, 50 customers and 3 staff records with reservations, rentals, contracts and a public business page, which fits many solo operators. Its visual fleet calendar requires Pro; accounting and maintenance require Plus or Pro. If you need customers to pay online, compare a different platform with online checkout.
Is a rental inquiry page the same as a booking engine?
No. A public listing with an inquiry form or price estimate tells a customer what’s available and roughly what it costs, but a staff member still confirms the booking. A self-service booking engine lets the customer pick dates, confirm and often pay without anyone on your side acting first. CarFleex currently offers booking requests that your staff confirm (a customer signs in, requests the dates and you confirm or decline it) rather than an instant, self-service booking engine; HQ Rental Software and Booqable are examples that publish the latter.
Does rental management software include GPS?
Not by default, and not on every platform. Of the six compared here, RentSyst and Renthub publish an optional GPS/telematics add-on with its own fee. CarFleex, Booqable and Easy Web Rent do not confirm GPS tracking on their public pages, and HQ Rental Software’s public pages don’t mention it either.
Can I use car rental software from Android?
It depends on what you need to do on the phone. CarFleex has a dedicated Android app for staff operations. Booqable offers a mobile point-of-sale app as a paid add-on, and HQ Rental Software publishes a staff handover app. Renthub offers a separately billed customer booking app for Android and iOS, which is different from a staff operations app. We could not confirm a dedicated staff app for RentSyst or Easy Web Rent from their public pages.
What should Philippine rental businesses check specifically?
Whether the software supports PHP as a working currency (not just display), whether staff can operate it from a phone at the counter, and whether Facebook inquiries — a common channel for Philippine rental customers — are handled somewhere other than a staff member’s personal inbox. See our dedicated guide on choosing software in the Philippines.
How much does car rental software actually cost?
It depends heavily on fleet size, billing period and add-ons. In this comparison, entry pricing ranges from CarFleex’s permanently free tier, through Booqable’s $35/month (or $29/month billed yearly) Start plan and RentSyst’s €55/month Beginner tier, to Easy Web Rent’s $299.99/year licence. HQ Rental Software’s and Renthub’s public figures are less clear-cut — HQ’s listed entry price conflicts across sources, and Renthub’s per-vehicle module pricing depends on which features you turn on. Always confirm the current number on the vendor’s own pricing page before comparing.
