Fleet management software
Know what every vehicle earns, costs and has been through.
Each vehicle in CarFleex has its own record: current status, every rental and reservation, service history, expenses and damage notes. Fleet decisions stop depending on whoever remembers the most.
Free for up to 5 vehicles. No credit card required.

What a vehicle record holds
Specs, rates and rental terms, set once per vehicle.
The rules that differ from car to car live on the vehicle, so staff do not have to remember them at the counter.
Specs and rates
Brand, model, year, plate, colour, seats, fuel type, transmission and odometer, with 12-hour, daily, weekly and monthly rates. Categories run from sedan and SUV to van, pickup and motorcycle.
Rental terms
Security deposit, daily mileage limit, excess-mileage fee, fuel policy, travel scope and driver requirement, shown again when you create a rental for that vehicle.
Paperwork dates
Registration (OR/CR) and insurance expiry dates are stored on the vehicle so they are kept with the car they belong to.
Status
Available, in maintenance and other statuses you set, while “rented” is managed automatically for as long as a rental is active.
Per-vehicle history
Net income for each vehicle, not just for the month.
The vehicle page adds up what the car has earned and what it has cost, so you can see which vehicles pay for themselves.
- Total rentals, rental income including late and damage fees
- Maintenance cost and other expenses charged to the vehicle
- Net vehicle income: income less maintenance and expenses
- Tabs for rental history, reservations, maintenance, expenses, damage and a free-form log

Condition and damage
A record of the car’s condition before the next dispute.
Document scratches and damage against the vehicle, with photos, so you have a reference when a car comes back.
- Damage and condition records per vehicle, with photos
- Vehicle photos captured on each rental
- A log for incidents, notes and other activity on the vehicle

Fleet calendarPro
All vehicles side by side, day by day: reserved, rented, due today, overdue, in maintenance or blocked. You can also block a vehicle out for a period.
Fleet-wide reportingPlus
The whole fleet at a glance.
Reports summarise fleet status, rental status, revenue against expenses, expense breakdown and income by type, and export to CSV.
- Fleet status and rental status
- Revenue vs expenses, and maintenance costs
- CSV exports for daily rentals, monthly revenue, expenses and vehicle utilization
