Car rental accounting
See what each rental earned and what the business spent.
CarFleex records rental income, late and damage fees, expenses with receipts and staff salaries in the same books. Profit becomes something you read off a screen, not something you rebuild at month-end.
Accounting is included on the Plus and Pro plans.

The month-end scramble
Rental money is easy to earn and hard to reconcile.
Income without a source
Payments arrive by cash, bank transfer and e-wallet. Without a record tied to the rental, matching them later is guesswork.
Receipts in a drawer
Fuel, repairs, cleaning and parking receipts pile up as photos and paper until someone has to sort them.
Costs that belong to a car
A repair bill is only useful if you can see it against the vehicle it was for.
Salaries off the books
Staff pay and cash advances kept elsewhere make the real running cost of the business look smaller than it is.

Costs per vehicle
Expenses and repairs attach to the car they were for.
An expense or maintenance cost recorded on a vehicle also appears under Accounting, so the vehicle’s net income and the ledger agree.
- Vehicle expenses show up in Accounting → Expenses automatically
- Maintenance costs are recorded as expenses when you save the service
- Each vehicle shows rental income less maintenance and expenses

Payroll
Staff pay counted as the expense it is.
Staff records carry a position and monthly salary, so salaries and cash advances sit alongside your other costs.
- Positions and monthly salaries per staff member
- Pay actions and cash advances
- Each staff member signs in with their own access

Reports and exports
Hand your accountant a file, not a shoebox.
Reports chart revenue against expenses and break down expenses and income by type. Export the detail as CSV.
- Revenue vs expenses and an expense breakdown
- Income by type
- CSV exports for daily rentals, monthly revenue, expenses and vehicle utilization

FAQ
Questions about accounting.
No. CarFleex is a ledger for your rental income and expenses, not a general-ledger or tax system. Export the figures as CSV and give them to your accountant or load them into your accounting tool.
