Car Rental Fleet Maintenance Checklist
Rental vehicles cover more kilometres with more drivers than a private car. A short check between rentals and a service schedule based on mileage keep them safe and avoid breakdowns mid-rental.

The short answer
Inspect every vehicle between rentals (tires, lights, fluids, warning lights, cleanliness and damage), service it on the schedule in its owner’s manual using odometer readings recorded at each return, and keep a record of every service and its cost per vehicle.
Block the vehicle from bookings while it is in the shop so maintenance does not collide with a reservation.
Between every rental
- Walk around for new scratches, dents and windshield chips, and photograph them.
- Check tire condition and pressure.
- Check engine oil, coolant, brake fluid and washer fluid levels.
- Start the engine and look for dashboard warning lights.
- Test headlights, brake lights, signals, horn, wipers and air-conditioning.
- Record the odometer and fuel level.
- Clean the interior and remove items left by the last customer.
On a schedule
| Item | Typical trigger |
|---|---|
| Oil and filter change | Mileage or time interval in the owner’s manual |
| Tire rotation and alignment | Mileage interval, or when uneven wear appears |
| Brake inspection | Every service, and whenever customers report noise |
| Air-conditioning service | Before hot season and when cooling weakens |
| Battery test | Every service, and before long rentals |
| Registration and insurance renewal | Before the expiry date |
Always follow the manufacturer’s service intervals for each vehicle.
Records to keep for each vehicle
- Service date, type of work, mechanic or shop, and cost.
- Odometer reading at service and when the next service is due.
- Damage reports linked to the rental and customer.
- Receipts, for tax and resale value.
How CarFleex helps
CarFleex records maintenance against each vehicle with the service type, mechanic, cost, service date, odometer and next service schedule. Maintenance costs are posted to your expenses automatically, and the reminder engine sends maintenance alerts. Odometer and fuel are recorded at each rental return, and each vehicle keeps its rental history, maintenance, expenses and logbook together.
Frequently asked questions
How often should rental cars be serviced?
Follow the manufacturer’s service intervals, which are usually based on mileage or time, whichever comes first. Rental vehicles reach mileage intervals faster, so track the odometer at every return.
What should be checked between car rentals?
Body damage, tires, fluid levels, dashboard warning lights, lights and signals, air-conditioning, odometer, fuel level and interior cleanliness.
How do I stop maintenance from clashing with bookings?
Plan service dates from odometer readings, then block the vehicle from bookings for that period. In CarFleex, a vehicle can be set to “in maintenance” status.
